Administrative Assistant

About the Role
- We are seeking a proactive, highly organised Administrative Assistant to manage our daily administrative operations, scheduling, and participant records.
- In this role, you will provide vital direct administrative support across departments handling routine operational tasks, candidate communications, and database updates.
- You will act as the operational backbone for our training programs, ensuring a smooth, professional, and seamless coordination experience for facilitators, team members, and program participants alike.
Key Responsibilities
Scheduling & Coordination:
- Manage department calendars, schedule internal team meetings, and coordinate program session timetables.
- Send timely reminders, calendar invites, and session links to facilitators and participants.
- Prepare meeting agendas, record detailed meeting minutes, and track follow-up action items.
Candidate Communication & Participant Records:
- Serve as the primary administrative point of contact for candidate inquiries via email, phone, and messaging platforms.
- Maintain up-to-date, organized records of program applicants, cohort participants, and attendance tracking systems.
- Assist in sending onboarding packs, program updates, and completion certificates to participants.
Facilitator & Operations Support:
- Coordinate logistics for facilitators, ensuring session materials, slide decks, and venue/zoom links are prepared in advance.
- Support day-to-day office management, document formatting, filing, and basic procurement of office supplies.
- Track petty cash usage, vendor receipts, and assist with routine administrative invoice logging.
Qualifications & Skills
- Experience: 2 years of experience in an administrative support, executive assistance, or office coordination role in Nigeria.
- Tech & Tool Proficiency: Hands-on experience with Google Workspace (Docs, Sheets, Slides, Forms, Drive), MS Office, and calendar management tools.
- Communication: Clear, polite, and professional written and verbal communication skills in English.
- Organization: Meticulous attention to detail, strong time-management skills, and the ability to handle routine tasks efficiently without missing deadlines.
Salary
- Monthly Base Pay: N150,000 gross per month
- Allowances: N15,000 monthly data/airtime allowance for candidate outreach and coordination.
