Human Resources Assistant

Job Summary
- We are seeking a highly organised, proactive, and people-oriented Human Resources Assistant to support the Human Resources function in the effective management of employee-related activities and HR operations.
- The successful candidate will provide administrative and operational support across recruitment, onboarding, employee records, HR systems, payroll administration, employee engagement, training, performance management, and general HR activities.
Key Responsibilities
- Support the end-to-end recruitment process, including job postings, CV screening, interview coordination, reference checks, and documentation.
- Coordinate onboarding and induction processes for new employees, ensuring all required documentation is completed.
- Maintain accurate and up-to-date employee records and personnel files.
- Manage and update employee information on SeamlessHR system
- Assist with monthly payroll preparation by providing accurate employee information, attendance updates, leave records, deductions, and other relevant payroll inputs.
- Support the administration of employee benefits, including HMO, pension, and other employee-related services.
- Coordinate and maintain the HR training calendar and assist with the organisation of internal and external training programmes.
- Support the performance management and appraisal process, includingtracking completion, and maintaining appraisal records.
- Assist with employee relations matters and ensure employee concerns and requests are appropriately documented and escalated when necessary.
- Manage employee leave applications and maintain accurate leave records.
- Prepare HR reports, trackers, letters, memos, and other HR documentation as required.
- Support employee engagement initiatives, welfare activities, and HR events.
- Assist with exit processes, including exit documentation, clearance, handover, and exit records.
- Ensure HR documentation and employee information are handled with strict confidentiality.
- Assist with HR audits and ensure employee records and documentation are properly maintained.
- Provide general administrative support to the HR Manager and assist with other HR projects and initiatives as required.
- Ensure compliance with company policies, procedures, and applicable employment regulations.
Requirements & Qualifications
- Possess a Bachelor’s degree in Human Resources, Business Administration, Industrial Relations, Psychology, or a related field with 1 – 3 years of experience in an HR Assistant, HR Officer, or similar HR role.
- Good understanding of core HR functions and processes.
- Experience with HRIS platforms is an added advantage.
- Proficiency in Microsoft Office, particularly Excel and Word.
- Strong organisational and administrative skills.
- Excellent written and verbal communication skills.
- Good interpersonal and relationship management skills.
- Strong attention to detail and ability to maintain confidentiality.
- Ability to multitask, prioritise responsibilities, and work effectively in a fast-paced environment.
- Proactive, reliable, and willing to learn.
