Administrative Officer
Location: Ota, Ogun
Job Summary
- The Administrative Officer is responsible for supporting the day-to-day administrative operations of the manufacturing plant, ensuring efficient workforce coordination, attendance management, production staff monitoring, facility administration, and accurate record keeping.
- The role requires close collaboration with Production, Human Resources, Security, and other departments to maintain operational efficiency.
- The ideal candidate should have 3-4 years of administrative experience in a manufacturing environment.
Key Responsibilities
Workforce Administration:
- Monitor and maintain daily attendance records for production, contract, and casual employees.
- Verify clock-in/clock-out records using the attendance management system or biometric devices.
- Prepare and submit daily attendance and absenteeism reports.
- Monitor staff punctuality, overtime, shift schedules, and leave records.
- Liaise with supervisors to resolve attendance discrepancies.
Production Staff Monitoring:
- Track daily production staff strength and ensure adequate manpower is available for each shift.
- Prepare daily manpower deployment reports.
- Monitor staff movement within the factory and ensure compliance with shift schedules.
- Support supervisors in maintaining discipline and adherence to company policies.
- Assist with onboarding and orientation of new production employees.
Administrative Operations:
- Provide administrative support to the Production and Administration departments.
- Maintain accurate records of staff, visitors, contractors, and administrative activities.
- Prepare daily, weekly, and monthly operational reports.
- Manage filing systems and ensure proper documentation of administrative records.
Facility and Office Administration:
- Coordinate office and factory administrative activities.
- Ensure adequate availability of office and operational supplies.
- Monitor the cleanliness and maintenance of offices, production areas, and common facilities.
- Coordinate repairs and maintenance requests for office equipment and facilities.
Logistics and Coordination:
- Coordinate transportation schedules for employees where applicable.
- Support the planning and coordination of meetings, training sessions, and operational activities.
- Liaise with Security on employee access control and visitor management.
Compliance and Reporting;
- Ensure compliance with company policies regarding attendance and workplace conduct.
- Maintain confidentiality of employee records.
- Prepare management reports on attendance, absenteeism, overtime, and workforce statistics.
- Support internal audits relating to attendance and administrative processes.
General Administrative Support:
- Receive and respond to administrative enquiries.
- Assist HR with employee documentation and personnel records.
- Perform other administrative duties as assigned by management.
Qualifications
- Bachelor’s degree or HND in Business Administration, Public Administration, Management, Human Resources, or a related discipline.
- Membership of the Nigerian Institute of Management (NIM) or Chartered Institute of Personnel Management (CIPM) is an added advantage.
Experience:
- 3-4 years of experience in an administrative role within a manufacturing or industrial environment.
- Experience managing attendance systems, production workforce administration, and shift operations.
- Experience working with contract and casual workforce administration is an added advantage.
Technical Skills:
- Proficiency in Microsoft Office Suite, especially Excel (Pivot Tables, VLOOKUP/XLOOKUP, IF functions).
- Experience using biometric attendance systems and time management software.
- Knowledge of HRIS or ERP systems is an advantage.
- Strong report writing and data management skills.
