Executive Assistant to the Founder ( Intern)

Contract Type: Internship (6 months, renewable based on performance and organisational needs)
Role Summary
- The Executive Assistant to the Founder (Intern) provides administrative support to the founder on day-to-day tasks. We are seeking a candidate who is kind, creative, understands the pressures a Founder faces, follows up the first time, and pays close attention to detail.
- Working closely with Sustyvibes’ Founder, the intern will assist with task management, calendar coordination, meeting preparation, basic reporting and presentation support, and email and social media management.
- The role helps ensure that priorities are tracked and logistics are handled efficiently, allowing the Founder to focus on strategic leadership and organisational growth.
- This role is ideal for someone highly organised, detail-oriented, proactive, and interested in gaining exposure to executive coordination within a fast-paced, mission-driven organisation.
What You’ll Do
Executive Office & Strategic Support/Coordination:
- Support scheduling, preparation, and documentation of Board of Trustees and Advisory Board meetings.
- Track Board action points and ensure timely follow-up across leadership.
- Manage the Founders calendar, priorities, and scheduling to ensure alignment with organisational strategy.
- Make and coordinate calls on behalf of the Founder, ensuring clear communication and appropriate follow-up with stakeholders.
- Represent the Founder at selected meetings or events where required, ensuring accurate communication of key messages and feedback.
- Prepare briefing documents, talking points, and summaries for high-level meetings and engagements.
- Assist with screening and organising incoming emails and messages.
- Draft simple responses or follow-up messages where appropriate.
- Help ensure timely communication between the Founder and internal teams.
- Support coordination of senior leadership meetings, including agenda setting and minutes.
External Relations & Communications Support:
- Coordinate logistics for high-level stakeholder meetings, donor engagements, and external events.
- Assist in preparing reports, proposals, and correspondence for partners and funders.
- Support with website and social media management, ensuring full visibility of the founder’s activities.
- Ensure timely and professional communication with key stakeholders.
- Support documentation of external engagements and partnership discussions.
Operational & Personal Support:
- Maintain organised filing systems (digital and physical, where applicable).
- Support expense documentation and administrative processes linked to the Executive Office.
- Support travel planning by helping research flights, accommodation, and event logistics.
- Assist with preparing travel schedules and meeting itineraries.
- Provide personal administrative support as needed, including shopping
- Ensure confidentiality and discretion in handling sensitive tasks and information.
Cross-Functional Coordination:
- Liaise with Heads of Departments to gather information required for reporting and decision-making.
- Support alignment between the Executive Office and Operations, Finance, Programs, and People & Culture teams.
- Help track tasks, deadlines, and follow-ups from meetings involving the Founder.
- Provide administrative support to ensure commitments and deliverables are documented and monitored.
- Help streamline workflows within the Executive Office to improve efficiency and clarity.
Systems & Process Support:
- Assist in reviewing and improving internal workflows and processes.
- Support the adoption and use of digital collaboration tools such as Google Workspace, ClickUp, and Zoom.
- Provide feedback to strengthen coordination and team efficiency.
What We’re Looking For
- Candidates should possess a Bachelor’s Degree in a relevant field.
- Must have 0-2 years’ experience in an executive support, administrative, or coordination role (nonprofit or mission-driven experience preferred).
- Strong organisational and time-management skills.
- Excellent written and verbal communication skills.
- High level of discretion, professionalism, and judgment.

Salary and Benefits
- Stipend: Modest monthly stipend (N150,000 / Month)
