Job Summary
- The Administrative Officer is responsible for ensuring the smooth day-to-day administrative operations of the school.
- The role involves managing records, coordinating office activities, supporting academic and non-academic staff, and ensuring compliance with regulatory requirements.
- The ideal candidate must be highly organized, detail-oriented, and capable of working in a fast-paced school environment.
Key Responsibilities
Administrative Operations:
- Oversee daily administrative activities to ensure efficient school operations.
- Maintain and update student and staff records (admissions, attendance, performance, etc.).
- Manage correspondence, emails, and official school documentation.
- Coordinate meetings, prepare minutes, and track action points.
Front Desk & Communication:
- Serve as the first point of contact for parents, visitors, and external stakeholders.
- Handle inquiries, complaints, and requests professionally.
- Manage communication channels between school management, staff, parents, and students.
Admissions & Records Management:
- Support student admissions processes, including application handling, documentation, and onboarding.
- Maintain accurate and confidential student records in compliance with school policies.
- Prepare reports on enrollment, attendance, and other administrative metrics.
Staff Support & Coordination:
- Assist in staff scheduling, attendance tracking, and leave management.
- Support HR-related activities such as onboarding and documentation.
- Coordinate internal events, training sessions, and staff meetings.
Finance & Procurement Support:
- Assist with fee tracking, invoicing, and receipt issuance.
- Support procurement of school supplies and maintain inventory records.
- Liaise with vendors and service providers for administrative needs.
Compliance & Regulatory Requirements:
- Ensure adherence to Lagos State education regulations and policies.
- Maintain proper documentation for inspections and audits.
- Support accreditation and compliance processes with relevant authorities, such as the Lagos State Ministry of Education.
Facilities & Office Management:
- Ensure proper maintenance of office equipment and school facilities.
- Coordinate repairs, utilities, and general upkeep of the administrative office.
- Monitor the cleanliness and organization of administrative areas.
Requirements & Qualifications
- Bachelor’s Degree in Business Administration, Education, or a related field.
- 1–2 years of administrative experience, preferably in a school or educational institution.
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal abilities.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint).
- Knowledge of school management systems is an advantage.
