Executive Assistant to CEO
Location: Lagos
Job Summary
- The Executive Assistant to the CEO will provide comprehensive administrative and operational support to the CEO, ensuring the smooth and efficient functioning of the CEO's office.
- This role requires a high degree of professionalism, discretion, and the ability to manage multiple priorities in a fast-paced environment.
- The Executive Assistant will act as a key point of contact for internal and external stakeholders, representing the CEO and the company professionally and courteously.
Key Responsibilities
Administrative Support:
- Manage the CEO's calendar, including scheduling meetings, appointments, and travel arrangements (flights, accommodation, transportation, etc.).
- Prepare and manage correspondence, reports, presentations, and other documents.
- Screen and prioritize incoming communications, including emails, phone calls, and mail, and respond on behalf of the CEO when appropriate.
- Organize and maintain the CEO's files, both physical and electronic.
- Handle confidential information with discretion and maintain confidentiality at all times.
- Manage expense reports and ensure timely submission and reimbursement.
Communication and Coordination:
- Act as a liaison between the CEO and internal and external stakeholders, including board members, executives, employees, clients, and vendors.
- Coordinate and prepare materials for meetings, including agendas, presentations, and minutes.
- Attend meetings, take minutes, and follow up on action items.
- Manage and coordinate special projects as assigned by the CEO.
Operational Support:
- Assist with event planning and coordination, including company meetings, conferences, and special events.
- Manage office supplies and equipment, ensuring the smooth operation of the CEO's office.
- Conduct research and gather information as needed.
- Assist with travel arrangements and expense reports.
Other Duties:
- Perform other duties as assigned by the CEO.
Qualifications
- Education: Bachelor's Degree preferred.
- Experience: 3 - 5 years of experience as an executive assistant or in a similar administrative role, supporting senior-level executives.
Skills:
- Excellent organizational and time-management skills.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to maintain confidentiality and handle sensitive information.
- Strong interpersonal skills and the ability to work effectively with diverse individuals.
- Ability to prioritize tasks and manage multiple projects simultaneously.
- Strong attention to detail and accuracy.
